6 Tips for Mastering and planning your work

Do you know that feeling of not being able to accomplish your tasks on time and receiving new ones constantly? It would be helpful for you to try to increase your efficiency and hence your productivity. These six tips are a good starting point for better work planning:

1. Using task online calendar

Do you have many tasks in progress and too few are completed? There is often a tendency to postpone the tasks at hand and the closer the deadline approaches, the more rushed you work. To prevent this stress, use a task online calendar for a task by setting up time slots in your diary that will help you not to work on anything other than this specific task. If the time you have set aside isn't enough, it's no big deal. Just set a new range to be able to finish.

2. Work at the right time

Everyone has their own pace and we should all adapt our production to that. Some are more productive in the morning. Others reach their peak of productivity in the evening. The most important thing is to be aware of this and to find the moment when you are most effective in accomplishing priority tasks.

3. Set priorities

Not all tasks are equally important and some need to be dealt with immediately. It is therefore worth prioritizing them to clarify their importance and urgency. 

You will quickly determine the importance and the urgency of a task. If it is important and urgent, then it should be treated directly. If it's important but not urgent, you can schedule a time to deal with it later. If it is urgent but not important, you can either delegate it or deal with it yourself, directly after important and urgent tasks. Finally, if a task is neither important nor urgent, there is no reason to do it and it can either be deleted or placed in the archives.

4. Use application help

Today, there is a wide variety of programs that help organizations, and therefore improve efficiency and workflow. Todoist is a great project management tool for personal use. This application allows you to easily and quickly enter tasks and prioritize them by the project. It works as well on the computer as on a smartphone and synchronizes from one side to the other. A nice advantage of this list of tasks is to be able to check off the tasks accomplished… even if it is only virtual.

5. Manage your emails more efficiently

In order not to spend your time lifting your mailbox and constantly receiving new tasks, you should only consult it at specific times. This will allow you to focus on your current work and finish it.

In addition, it helps to write emails that are clear enough so that the recipient does not have to ask for clarification. You can mention keywords in the subject line so that it can directly categorize your email. It's also important to answer the who, what, when, where, why, and how questions in every email you write. However, you should avoid writing novels and instead focus on the essentials.

6. Avoid distractions

We consult our smartphone 88 times a day, or approximately every 18 minutes. Often it's to read our emails or get lost on social media. When we think about taking a look at Facebook or responding to an email quickly, we are actually wasting a lot more time than we think. Indeed, it takes on average more than 25 minutes to fully concentrate on our original activity again. To avoid this, two solutions: put your smartphone in airplane mode or turn it off completely. The same goes for notifications. Thus, you will be more concentrated and you will focus on your tasks. Be careful, however, that your colleagues and superiors know when you are reachable, and this is valid any time you decide to reduce the use of means of communication.
